Booking terms
These are the terms in every service agreement we send. They fit on one page on purpose.
Booking & payment
A date is held when the signed agreement and a 35% deposit are received. The deposit is non-refundable. The balance is due 14 days before the event; if it isn't received, we may treat the booking as cancelled. Payment is by Interac e-transfer. All prices are before HST, which is shown as its own line on every quote.
Changes to the package, guest count or add-ons are accepted in writing up to 14 days before the event and reflected on a revised quote. Guest counts above the package allowance require an additional bartender, added to the quote at the published rate; there is no per-guest charge.
Cancellation & rescheduling
Cancel more than 14 days before the event and the deposit is retained; nothing further is owed. Cancel within 14 days and the full balance is owed, because staff and supplies have been committed. One reschedule is free with at least 30 days' notice, subject to availability; the deposit transfers to the new date.
If we have to cancel for reasons within our control, the deposit and any balance paid are refunded in full. Where an event cannot proceed for reasons outside anyone's control — severe weather, venue closure, public-health orders — we'll reschedule first and refund the balance if no date works.
Alcohol & permits
The host supplies all alcohol. We do not sell, resell, mark up or purchase alcohol on a client's behalf. Where the venue requires a Special Occasion Permit, the host obtains it, holds it, and ensures alcohol is purchased in accordance with it; we'll advise and provide the shopping list. We serve private, invited-guest events only; no cash bars, ticket sales or public events.
Our bartenders are Smart Serve certified and serve under Ontario law. We will not serve anyone under 19 or anyone who appears intoxicated, and we may slow or stop service to a guest at our discretion. Service ends no later than the hours permitted by the venue or the permit, regardless of booked hours.
Hours & staffing
Service hours run from bar open to last call. Setup and teardown are not deducted. Additional hours booked in advance are $100 per hour. Overtime requested on the night is $150 per hour, billed in 30-minute blocks, with the host's or their named representative's approval, and invoiced the next business day.
Staffing follows our published rule: one bartender to 50 guests, two above that or above 40 where the chosen cocktails cannot be prepared in advance. Every booking has a backup bartender assigned.
Venue, weather & access
The host provides a level, covered space of roughly 8 by 6 feet for the full bar, vehicle access for load-in, and tells us about stairs, elevators or long carries in advance. Outdoor bars require cover; we pause service during lightning and resume when it passes. We carry $2M general and liquor liability and will issue a certificate naming the venue as additional insured on request.
Equipment & damage
The bar and equipment remain our property. The host is responsible for damage to our equipment caused by guests, beyond normal wear, at repair or replacement cost. We're responsible for damage we cause to the venue through our own negligence. Leftover alcohol is returned to the host or their named representative at the end of the event; we don't store it.
Travel & gratuity
Durham Region is included. Travel outside it is charged by zone as published on the Packages page and shown on the quote. Gratuity is at the host's discretion; a tip jar is placed on the bar unless the host selects host-covered gratuity, in which case no jar appears.
Liability
Our liability for any claim related to a booking is limited to the amount paid for that booking, except where the law doesn't allow that limit. We're not responsible for the conduct of guests outside our service, for alcohol consumed away from the bar, or for the host's compliance with permit conditions. These terms are governed by the laws of Ontario.
Privacy
When you use the date-check form or email us, we collect your name, contact details and event information so we can reply and, if you book, run your event. We keep it in our booking software and our email, we don't sell or share it with anyone except the venue where coordination requires it, and we only send you marketing if you've said yes. Ask us any time to see or delete what we hold: hello@socialpourco.ca. We don't use tracking cookies beyond basic site analytics.
